Choose a PDF compressor on Mac

The right PDF compressor depends on what the recipient needs to do with the file. A scanned handout for reading and a searchable report with form fields have different requirements. Start with the output you need, then choose the workflow.

For a one-off attachment, try Apple’s Preview export steps. Save under a new name, then inspect small text and diagrams at the size your reader will use.

Replacing PDF Squeezer?

If profiles or automated batches are central to your work, PDF Squeezer already provides Shortcuts, Automator and a command-line interface. A Finder action alone is not a reason to replace that workflow. To keep the original, use Save As or drag out a copy; the vendor’s Mac FAQ distinguishes these from Save, which overwrites.

Zipic is a narrower option when you want a Finder-based reading copy. The checked 1.0.5 build 24 implementation writes rendered page images when that candidate is smaller; otherwise it copies the source. A smaller rendered output loses selectable and searchable text. See the PDF compression guide and version-specific examples.

Before sending the result

  1. Keep the original and work with a separate output.
  2. Check file size, fine detail and readability together.
  3. If needed, try text search, copy a sentence, open links and use form fields. For signed documents, check signature status in your PDF reader.
  4. Send the copy only when it meets the recipient’s requirements.

For a searchable report or interactive form, those checks take priority over the smallest byte count. For a scanned reading copy, legibility may be the deciding factor.
